What information we collect

When you book a consultation, we collect the information you provide through our booking form, which may include:

  • Your name, address, phone number, and email address
  • The number of children involved and their ages
  • Details of current contact or living arrangements
  • A description of the issues you would like to discuss
  • Any documents you choose to provide for advance review
  • Notes made in connection with your consultation
  • An audio recording of the consultation, where applicable

When you make payment, Stripe processes your card details directly. We do not receive or store your full card details.

We also collect standard technical information automatically when you visit the site, such as your browser type, device, and pages viewed, through the cookies described below.

Why we collect it

We use this information to:

  • Understand your situation before your consultation, so the session is as useful as possible
  • Process your booking and payment
  • Contact you about your booking, for example to confirm a time or discuss rescheduling
  • Send you confirmation of your order
  • Maintain appropriate professional records and assist in preparing your written Strategic Summary

We do not use your information for marketing without your separate consent, and we do not sell your information to anyone.

Our lawful basis for using your information

We process your personal information where it is necessary to provide the consultation service you have requested, to manage your booking and payment, and where necessary for our legitimate interests in maintaining appropriate professional and business records.

The information you provide may include sensitive personal information about you or other people, including information relating to health, family circumstances or allegations arising within Family Court proceedings. Where additional protections apply to this information under data protection law, we will only process it where we have an appropriate lawful basis for doing so.

Where we rely on your consent for a particular use of your information, you may withdraw that consent at any time. This will not affect processing that took place before consent was withdrawn.

Who we share it with

We use third-party service providers to help us operate this service. These providers only receive personal information where necessary for them to provide their services to us. These may include:

  • Stripe Payments, to process payment
  • Nettl Systems Ltd, to host the website
  • Google Analytics and Google Search Console, in connection with website analytics and performance

We only share personal information with service providers where this is necessary for them to provide their services to us. We do not sell your personal information. We may also disclose information where required by law or where necessary in connection with a safeguarding concern.

How long we keep it

We generally retain your consultation records, consultation notes, information provided for the consultation and any audio recordings (where applicable) for five years from the date of your consultation. This enables us to maintain appropriate professional records and respond to any queries or complaints that may arise.

Once the retention period has expired, your personal information and any associated recordings will be securely deleted or permanently destroyed.

Some administrative, financial or transaction records may be retained for a different period where required for legal, tax or accounting purposes.

Consultation recordings

To help maintain an accurate professional record of your consultation and assist in preparing your written Strategic Summary, your consultation may be audio recorded using a secure digital recording device.

Where a consultation is to be recorded, you will be informed before recording begins. Recordings are used only for professional record-keeping, preparation of your written Strategic Summary and ensuring the accuracy of notes made during the consultation.

Recordings are treated as confidential personal data. They are stored securely, are accessible only to Tim Greenslade or authorised personnel where necessary, and will not be shared with third parties unless required by law, necessary in connection with a safeguarding concern, or with your consent.

Recordings are retained for up to five years and are then securely deleted.

Your rights

Under UK data protection law, depending on the circumstances, you may have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete your personal information in certain circumstances
  • Ask us to restrict how we use your personal information in certain circumstances
  • Object to certain uses of your personal information
  • Ask for certain information to be transferred to you or another organisation where the right to data portability applies
  • Withdraw your consent at any time where we rely on consent to process your information
